Arche XR Privacy Policy

Effective Date: January 1st, 2026


Arche XR, LLC ("Arche XR," "we," "us," or "our") provides virtual reality applications and related services to subscribing schools, clinics, hospitals, community agencies, and other organizations. This Privacy Policy explains how Arche XR collects, uses, discloses, and protects information in connection with:

  1. the Arche XR website; and 
  2. Arche XR applications, services, and support provided to subscribing organizations. 


Key Privacy Statement

Arche XR does not collect personal information from end users through the standard application experience. The applications do not include functionality for end users to create accounts, log in, or submit personal information, protected health information, or other directly identifying data.

Arche XR collects only organization-level business information and may access limited aggregated, anonymized, or de-identified usage information for service operation, support, and improvement.


1. Scope and Service Model

Arche XR is not a direct-to-consumer service. In Arche XR’s standard deployment model, Arche XR applications are made available through a subscribing organization.

Within the standard Arche XR application experience:

  • end users do not create an Arche XR account; 
  • end users do not log in to an Arche XR account; and 
  • the application does not include a feature for end users to submit personal information to Arche XR. 

Arche XR does not collect personal information from end users through the standard application experience. The applications do not include functionality for end users to create accounts, log in, or submit personal information. Access to Arche XR applications is managed by the subscribing organization. The subscribing organization is responsible for determining who may use the applications and, where applicable, for providing any notices and obtaining any permissions, consents, or approvals required under applicable law, regulation, or organizational policy.

If Arche XR enters into a separate written agreement with a subscribing organization that specifically addresses privacy or data handling for a particular deployment, that written agreement will control to the extent of any conflict with this Privacy Policy.


2. Information We Collect


A. Website inquiry and business contact information

If you contact Arche XR through the website, by email, or otherwise for business purposes, we may collect information you choose to provide, such as:

  • name; 
  • work email address; 
  • phone number; 
  • organization or company name; and 
  • the contents of your inquiry or related business communications. 


B. Website cookies and related technical information

Arche XR’s website uses cookies and similar technologies to analyze website traffic and improve website experience. We may receive website usage and technical information associated with visits to the site, such as pages viewed, interaction data, browser or device information, and similar website activity information.

Arche XR’s contact form is protected by Google reCAPTCHA. If you use the contact form, Google’s Privacy Policy and Terms of Service apply to that feature.


C. Organization and subscription information

Arche XR may collect business and administrative information necessary to establish, manage, support, bill, ship, secure, and maintain subscriptions and customer relationships, including:

  • organization name; 
  • business contact information; 
  • subscription records; 
  • transaction and billing records, if applicable; 
  • shipping information, if applicable; and 
  • customer support and service-related communications. 


D. Application usage information available to Arche XR

Arche XR does not directly collect personal information from end users through the standard application experience. 

Arche XR may, however, access limited aggregated, anonymized, or de-identified application usage or deployment information made available through managed deployment or device-management tools. Arche XR uses this information for purposes such as subscription administration, troubleshooting, technical support, service operation, internal analytics, and product improvement. Arche XR does not use this information to identify individual end users.


E. Information Arche XR is not designed to collect through standard application use

In the standard Arche XR application experience, Arche XR does not ask end users to submit names, email addresses, educational records, therapy notes, medical records, protected health information, or other directly identifying information to Arche XR.


3. How We Use Information

Arche XR may use information covered by this Privacy Policy to:

  • respond to inquiries and communicate with prospective or current customers; 
  • provide demonstrations, onboarding, support, maintenance, and customer service; 
  • establish, administer, and maintain subscriptions and customer relationships; 
  • process billing, shipping, and related operational matters, if applicable; 
  • operate, secure, troubleshoot, maintain, and improve the website, applications, and related services; 
  • review aggregated, anonymized, or de-identified usage information to understand product performance and improve services; 
  • enforce contracts, policies, and legal rights; and 
  • comply with applicable law, legal process, or governmental request. 


4. How We Disclose Information

Arche XR does not sell personal information.

Arche XR does not use personal information collected through the standard application experience for advertising, because Arche XR does not directly collect end-user personal information through the standard application experience.

Arche XR may disclose information described in this Privacy Policy:

  • to vendors, contractors, and service providers that support website hosting, spam prevention, website functionality, billing, shipping, security, maintenance, or customer support; 
  • to professional advisors such as legal counsel, accountants, auditors, and insurers; 
  • when required or permitted by applicable law, regulation, subpoena, court order, or other legal process; 
  • to protect the rights, safety, security, and property of Arche XR, its customers, or others; and 
  • in connection with a merger, acquisition, financing, restructuring, or sale of all or part of Arche XR’s business. 

Arche XR may also use or disclose aggregated, anonymized, or de-identified information that does not identify a particular person.


5. Children’s Privacy

Arche XR’s public website is intended primarily for adults, such as educators, clinicians, administrators, and representatives of subscribing organizations, and not for children.

Some Arche XR applications are designed for youth use through subscribing organizations. Arche XR does not directly collect personal information from children through the standard application experience.

To the extent a subscribing organization makes Arche XR applications available to minors, the subscribing organization is responsible for determining and obtaining any notices, permissions, consents, or authorizations required under applicable law or policy.


6. Health, Student, and Sensitive Information

Arche XR’s standard applications are educational in nature and are not designed for the collection, storage, or processing of protected health information, medical records, therapy notes, or other regulated health data.

Arche XR also does not request or intend to receive student records or other directly identifying end-user records through standard application use.

Please do not send protected health information, student records, therapy notes, medical records, or similar sensitive information through Arche XR’s public website, general business email, or standard application deployment.

If a proposed deployment would involve protected health information, identifiable student data, or another regulated data set, please contact Arche XR before use.


7. Data Retention

Arche XR retains website inquiries, organization-level information, and related business records for as long as reasonably necessary to respond to inquiries, manage customer relationships, provide services, comply with legal obligations, resolve disputes, and enforce agreements.

To the extent Arche XR stores or maintains aggregated, anonymized, or de-identified application usage information, Arche XR retains that information during the applicable subscription term and deletes it within ninety (90) days after the end of the applicable contract term, unless a longer retention period is required by law or is reasonably necessary to protect legal rights, resolve disputes, or investigate misuse.


8. Data Security

Arche XR uses reasonable administrative, technical, and organizational safeguards designed to protect the information it maintains, taking into account the nature of the information and the context in which it is processed.

No method of transmission, storage, or security is completely secure, and Arche XR cannot guarantee absolute security.


9. Privacy Requests and Contact

To ask a privacy question, or to request access to, correction of, or deletion of information maintained by Arche XR, please contact:

Arche XR will review requests in accordance with applicable law, contractual obligations, and legitimate operational or legal needs.


Because Arche XR  does not directly collect personal end-user information through the standard application experience, many end-user privacy requests may not apply to Arche XR in the ordinary course.


If a request relates to an organization-managed deployment, Arche XR may direct the requester to the relevant subscribing organization, consistent with applicable law and contractual obligations.

Depending on applicable law, some individuals may have additional privacy rights.


10. Cookies, External Services, and Do Not Track

Arche XR’s website uses cookies and similar technologies for website analytics and functionality. You can adjust your browser settings to manage cookies, though doing so may affect certain website features.

Arche XR’s website and services may use or interact with third-party services, embedded content, managed hardware, app distribution systems, device-management tools, or other platform infrastructure. This Privacy Policy describes Arche XR’s own practices. Third-party providers may apply their own terms and privacy notices to their products and services.

Arche XR’s website does not currently respond differently to browser "Do Not Track" signals.


11. Changes to This Privacy Policy

Arche XR may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of the policy. The updated Privacy Policy will apply from its effective date forward, unless otherwise required by law.
